To Whom It May Concern:
Pursuant to the Virginia Freedom of Information Act, I hereby request the following records:
Records, including correspondence, for the 2023 - 2024 and 2024 to date showing coordination to set the dates for "Breakout" each year to include, without limitation, those related to scheduling Breakout one or more years in advance to accomidate the NCAA Schedule and any athletic calendars produced and distributed to NCAA athletes showing the date of the scheduled Breakout Activities and communicating with affiliated athletic conferences to schedule events. Records of scheduling Breakout well in advance (up to 2 years) are known to exist as well as NCAA schedules given to at least some NCAA teams and/or players at the start of each year showing when these events are scheduled.
The requested documents will be made available to the general public, and this request is not being made for commercial purposes.
In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.
Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 5 business days, as the statute requires.

After consultation with the individuals responsible for the information you requested, I have determined that the estimated cost of fulfilling your request is $381.70. As you may be aware, § 2.2-3704. F. of the Code of Virginia allows public bodies to charge for accessing, duplicating, supplying, redacting or searching for the requested records. This estimate reflects 6.5 hours of staff time as follows:
* Assistant Superintendent for Operations, 2 hrs @ $85.37 per hour
* Deputy Commandant for Operations, 2 hrs @ $55.28 per hour
* Associate Athletic Director for Internal Operations, 2 hrs @ $33.65 per hour
Please let us know if you agree to the estimated cost. If you do, a deposit equal to the estimated cost is required prior to processing your request.

Before I go to the expense of a "search," let me confirm that records are reasonably expected to exist that I understand are accurate but want to be sure.
Is it accurate that Breakout is scheduled in advance to accommodate the NCAA Schedule or for other reasons, as I am told exists, and that Breakout for the 2025 - 2026 academic year and possibly the 2026 - 2027 academic year is scheduled? I expect this could be confirmed by a call to the appropriate department(s). This will help me possibly scope my request as well.
