This request is with regard to Cabinet Contents List - Fresno River. I am requesting two binders. The two binders I am requesting are Binder 1 and Binder 2. I am requesting the binders in their entirety. The approximate date range of the binders is 1894 through 1991

The requested documents will be made available to the general public, and this request is not being made for commercial purposes.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 20 business days, as the statute requires.

We received the request shown below on March 12, 2020. We replied with an initial letter (attached) assigning a tracking number and acknowledging receipt. We need more information to process the request. My office has called the listed daytime telephone contact number (617) 299-1832 on March 24 and again today to try to clarify the request. A voicemail was left each time. This email serves as our third attempt to clarify the request. We need a more specific description of 'Cabinets Contents list - Fresno River, binders 1 and 2.' We do not know where to look because the description in the request is not specific enough for us to begin a search. Is there some documentation that better identifies the subject of the request. The description "Cabinets Contents List" must have come from somewhere? Thanks in advance. If you have more information, you can reply to this email.

We will need you to contact us with written clarification of this issue. Per our regulations at 43 CFR § 2.5(d), if we do not receive your written response containing the additional information within 20 workdays after the bureau has requested it (today's date), the Bureau of Reclamation will presume that you are no longer interested in the records and will close the file on the request.

Jennifer,

Retrieved the list. I emailed the list to our Fresno office and am trying to obtain a fee estimate from them. There are almost 8 full pages of documents for binders 1 and 2. There will likely be no search fees but there could be fees for the time used to convert the records to PDF. You have two free hours of entitlements that would go towards that fee but I suspect it will take much more time than a couple of hours.

More information will be on the way shortly I hope. The Bureau of Reclamation is similarly affected by Covid-19 events as are many. Thank you for your patience.

I am writing this email to inform you that yes I will pay the cost of copying the records, up to $300.00. As stated in your letter, please let me know if estimated costs exceed $300.00. Again, you have my assurance that yes I will pay up to $300.00. Additionally for your information I do have further funds earmarked for these records and I will most likely approve the cost even if the cost exceeds $300.00. Thank you.

Reclamation is processing the request in chronological order, currently 11th in our queue. The action office's manager advised me on Tuesday, June 9, that the person who possesses the records may be returning to the office on June 15. My office will process the records as quickly as possible according to our regulations. I will reply to this email with an update when I do receive the records and will be in a position to give an estimated date to get the records to the requester. I hesitate to that without knowing how many pages are going to be produced.
